Approve money before it hits the books
When a teammate records money, it can wait for an owner or approver to sign off before it counts. This is a safety check, nothing is wrong.
Before you start
- This applies to accounts with more than one person. You set a teammate's level when you invite them.
- On a single-seat plan (Free) there is no Approvals area, because you post money directly and there is nothing to approve. It appears once you upgrade and add a teammate who posts for your sign-off.
- A teammate set as an operator has their money postings held for approval. An approver or the account owner posts directly.
Steps
- Open Approvals from the menu to see everything waiting for sign-off.
- Open an item to review who entered it, the amount, and the details.
- Choose Approve or Reject.
What happens next
- A held expense, payment, or charge does not count toward a tenant's balance, statements, taxes, or reminders until it is approved.
- On Approve, the money applies and any receipts or notices go out. On Reject, nothing moves.
- You cannot approve your own posting. The person who approves must be different from the person who entered it.
- Every approval and rejection is kept in the activity history, so there is always a clear trail.
Troubleshooting
- I don't see an Approvals area. On a single-seat (Free) plan it is hidden, because you post money directly. Add a teammate on a paid plan and it appears.
- The Approvals area is empty. Nothing is waiting. Postings by an approver or the owner do not need sign-off, so they never appear here.
- A balance looks too low. A charge may still be waiting for approval. Approve it and the balance updates.
