Call off a work order, even after you sent a vendor

You sent a vendor to a job and now it does not need doing. The tenant says it sorted itself out, you got a better quote, or you dispatched the wrong person. You can call the job off, and the vendor is told.

This is part of the maintenance AI tools, so you only see it when those are switched on for your account.

Cancel a work order

  1. Open the maintenance request and find the Work order panel.
  2. Choose Cancel work order. It is there for a draft, an approved job, and one you have already assigned to a vendor.
  3. Pick a reason if one fits, and add a note. Both are optional and both are saved.
  4. Confirm.

If a vendor had been assigned, the panel tells you by name before you confirm, and that vendor is emailed straight away with the job details and a clear instruction not to attend. If no vendor was assigned yet, nobody is emailed.

The maintenance request stays open

Cancelling a work order does not close the maintenance request. That is deliberate. Calling off a dispatch does not fix a leak, and the tenant is still waiting. Close or complete the request separately once the problem is actually dealt with.

Undo a cancellation

Cancelled by mistake? Open the request and choose Restore work order.

It comes back as a draft, not as an approved or assigned job. You approve it and pick a vendor again. That is on purpose. Bringing back an approval nobody re-made would let a cancel and a restore quietly get around the approval step, so the two clicks are the point rather than an oversight.

The reason it was cancelled stays visible after you restore it, and so does the name of the vendor who was stood down. Nothing is erased.

What is kept

The most recent cancellation is kept on the work order: the reason, your note, when it happened, and which vendor was stood down. If you cancel the same work order more than once, only the latest cancellation is shown.
