Record a rent payment

Log a payment a tenant made outside the app, like cash, cheque, or Interac e-Transfer, against their balance.

Before you start

  • You need to be a property manager, account owner, or admin.
  • This is for payments you collect directly. Card payments tenants make online are recorded for you, so you do not log those.

Steps

  1. Open the tenant's lease from Leases.
  2. Choose Record a payment.
  3. Enter the amount and the method (cash, cheque, or Interac e-Transfer), then confirm.

What happens next

  • The payment goes against the oldest unpaid rent first, and the tenant's balance updates.
  • The payment appears in your activity feed and in any connected integrations.
  • Interac e-Transfer is a request-and-confirm flow. You request it, the tenant sends it, and you record it here when it lands.

Paying ahead for a future month

A tenant can pay early or pay ahead for a future month. When the lease has posted charges, the form shows a Payment is for picker so you can point the payment at a specific month instead of the oldest one. A month a prepayment covers is treated as paid, so it does not send a "rent is due" reminder. See Collect rent early and prepayments.

Download a rent receipt

  • If rent receipts are turned on for your account, each successful payment on the lease has a Download receipt button in the Payments list. It produces a PDF receipt the tenant can use as proof of rent paid for a provincial benefit or tax claim. The tenant can download the same receipt themselves from their portal.
  • Rent receipts are controlled by a feature setting. A platform admin turns them on for your account from the admin console. This is tooling, not tax advice.

Troubleshooting

  • Logged twice by mistake. Submitting the very same payment twice in a row is caught and not doubled. Two genuinely separate entries will both apply, so review the lease's payments if unsure.
  • The tenant says they paid but the balance has not changed. Check whether they paid by card, which records itself, or some other way, which you record here.
