Fix a mistake on an inspection that is already signed

The condition report is signed and something on it is wrong. The wrong unit, a room you never walked, photos filed against the wrong area.

You cannot edit it, and that is deliberate. What you can do is replace it.

Why a signed report cannot be edited

A signed condition report is evidence. If a deposit is disputed, it is the thing that shows what state the place was in and that your tenant agreed with you at the time. If signed reports could be edited afterwards, none of them would be worth much, because nobody could tell whether what they are reading is what was actually agreed.

So the report you signed stays exactly as you signed it, permanently.

Replace it with a corrected report

  1. Open the lease and find the inspection.
  2. Choose Replace with a corrected report.
  3. A new draft appears with all the same areas already filled in, so you correct rather than retype.
  4. Fix what was wrong, then send it for signing as usual.
  5. Your tenant signs the corrected report.

The original stays in the list marked Replaced, with its signatures intact. Both reports are kept.

What this means for deposits

A move-out comparison always uses the report that stands. If you replaced a move-in report, a new move-out inspection compares against the corrected one, not the one you replaced.

Deductions you already made keep pointing at the evidence they were made against. That is on purpose, so a deduction's evidence never changes underneath it after the fact.

When you cannot replace

  • The report is not signed yet. Just edit it.
  • The report has already been replaced. Correct the replacement instead.

One thing to watch

Between replacing a report and getting the new one signed, the original is still the operative signed report. Send the corrected one for signature promptly.
