Screen a rental applicant

Coming soon, not yet available. Tenant screening (credit and background checks) is not live during the soft launch while its vendor contract is being verified. The steps below describe the intended experience and run against a stand-in provider for now. This article is not for publication until screening is enabled.

Invite a rental applicant to complete a credit and background check before you offer a lease. The applicant fills in their own details with our screening partner, you never collect their date of birth, address, or SIN.

Before you start

  • You need to be a property manager, account owner, or admin.
  • Screening is a paid feature (Pro and up) and runs through a screening partner. Until a live provider is set up, the flow uses a stand-in so you can work end to end.
  • Get the applicant's consent before you send the invite. The consent you confirm is recorded.

How the invite flow works

  1. Open the applicant's tenant page from Tenants, or open their application.
  2. In the Screening section, enter the applicant's name and email (a phone number is optional).
  3. Tick the consent box to confirm the applicant agreed to a credit and background check.
  4. Select Send screening invite. We email the applicant a secure link to complete the check with our screening partner.
  5. The check shows as Pending while the applicant completes it. When the partner finishes, the result appears in the screening history with a score and a link to the report.

What you do and do not handle

  • You enter only the applicant's name and email (and optional phone) to send the invite.
  • The applicant enters their own date of birth, address, and optional SIN directly with the screening partner. Wealtharu does not store any of that.
  • The applicant pays the screening partner for the report. You do not handle the payment.

What happens next

  • The result is saved against the applicant. Open the report to review it.
  • Decide. Move the applicant toward a lease, or decline. The decision is always yours, screening is one input among many and there is no automatic approve or decline.

Compliance note

Screening involves personal information. Handle it under PIPEDA, get the applicant's consent before you send an invite, and apply your criteria the same way for everyone. Wealtharu is tooling, not legal advice.

Troubleshooting

  • The result looks like placeholder data. No live screening provider is set up yet, so you are seeing the stand-in. The result becomes real once a provider is connected.
  • The applicant did not get the invite. Check the email address you entered, then send the invite again from the Screening section.
  • The check is stuck on Pending. The applicant has not finished with the screening partner yet. The status flips on its own when the report is ready.
